SPORTIME Global Guidelines

SPORTIME employees are committed to providing our members with the finest athletic and social settings, and the very best programs, instruction and amenities for tennis, sports, camps, health and fitness.  We pride ourselves in our high degree of hospitality, integrity, social awareness and attention to detail.  We strive to achieve operational excellence and to provide our members with intimate, welcoming and comfortable environments.  We take great pride in our facilities.  

As our communities react to the global health crisis caused by COVID-19, our focus remains supporting the health and wellbeing of our employees, members and customers.  The following guidelines have been implemented across all SPORTIME facilities and will be updated on an ongoing basis, as we receive new information and directives from governmental and other health agencies and organizations, and based on our experience navigating this “new normal”.  While some might view certain protocols as overly cautious, SPORTIME may choose to maintain them, in spite of prevailing guidance, if they make our members, customers or staff feel safer and more comfortable. 

Notwithstanding all the precautions that SPORTIME will take, due to the nature of the virus, the risk of contracting COVID-19 remains, as we are all aware.  Please be safe, respect others and follow all of the precautions, protections and protocols put in place during this COVID-19 epidemic.  

STAFF / MEMBER / CUSTOMER SAFETY

Check-In/Health & Temperature Screenings

Staff

  • All SPORTIME staff is screened upon arrival at their home club, and before starting work, each day. This includes an online self-screening and a temperature check.

Junior Tennis and Multi-Sport Players 

  • Upon registration for their indoor season programming, players’ parents/guardians will receive a confirmation email with, in addition to other important information, instructions on how to login to the mySPORTIMEapp using their mobile device, or to the Sportime Member Portal if they are using a laptop or desktop computer, to the to acknowledge the following:
  • Each time I send my player(s) to participate in SPORTIME programs and services during the 2020-21 indoor and summer seasons, through August 31, 2021, I am acknowledging and agreeing to the following:
    1. My player(s) has not experienced any of the following symptoms in the past 14 days:
      Fever above 99.9° or above
      Cough
      Shortness of breath or difficulty breathing
      Fatigue
      Muscle or body aches
      Headache
      New loss of taste or smell
      Sore throat
      Congestion or runny nose
      Nausea or vomiting
      Diarrhea
      Any other signs of illness
    2. My player(s) has not tested positive for COVID-19 in the past 14 days.
    3. My player(s) has not been in close contact with someone with a confirmed or suspected COVID-19 case in the past 14 days.
    4. If my player(s) has arrived from another State or Country within the last 24 hours, we have adhered to the New York State mandatory travel guidelines. Click here to view the guidelines.
    5. I am aware of the inherent risks of my player(s) participating in activities at SPORTIME, including possible exposure to COVID-19 and other contagions.
    6. My player(s) and I will respect others and abide by all of the precautionary guidelines and protocols put in place to protect us and to protect other SPORTIME players and employees.
    7. I assume all risks related to my player(s)’s participation in SPORTIME programs and services.
  • Parents must keep junior players at home if they are exhibiting any of the symptoms enumerated above, and adult players or parents or guests exhibiting any such symptoms may not come to the club.
  • Upon arrival at the club for group programming, junior players will be checked in either at reception or on-court, and will have their temperatures taken using non-contact thermometers. Upon arrival at the club for private lessons, training, services or court-time, juniors must check-in at reception, and will have their temperatures taken using non-contact thermometers. Those whose temperatures are 99.9 degrees or higher will be escorted to the site’s designated isolation area, and a parent/guardian will be contacted to pick them up immediately; they will need to be symptom free and test negative for Covid-19 before returning to the club.
  • For players using SPORTIME's transportation service, players’ temperatures will be taken by SPORTIME drivers, using the same criteria as set forth above, before players will be allowed to board buses. 

Adult Tennis and Multi-Sport Players; Parents/Guardians of Junior Players 

  • Adult players, and parents/guardians of junior players who wish to enter SPORTIME clubs, will be required to check-in at reception. Adult members and parents/guardians of junior players should use their SPORTIME keytags to check-in; if you have not received one, please ask for one at reception.  
  • All non-members and guests who visit SPORTIME clubs must register as "Associates". Those who use SPORTIME clubs regularly will be issued a keytag for easy check-in thereafter. For those who have not done so already, the easiest way to register, and to manage your SPORTIME activities, is to download the mySPORTIME app on your mobile device (click here for instructions). If you prefer to use a laptop or desktop computer, click here to access the Sportime Member Portal. 
  • Players will be asked to submit to a temperature check prior to entering a SPORTIME club. Those whose temperatures are 99.9 degrees or higher will not be admitted. 

Fitness Members/Users

  • To ensure that we follow NYS mandatory guidelines, and our own protocols, we must ask our fitness users to make reservations for workout sessions in our gyms, as well as for all group fitness and personal training classes/sessions.  Reservations can be made easily through the mySPORTIME app from a mobile device, or through the SPORTIME Member Portal from a laptop or desktop computer, no more than 24 hours in advance; see below for detailed log-in instructions. When making an online reservation, a member will be prompted to answer the required health screening questions.
  • Upon arriving at the club for each visit, a member must check-in at reception, the member’s temperature will be taken by staff with a point and shoot thermometer, and, presuming that the temperature reading is less than 99.9 degrees, the member will be admitted.
    For those who prefer personal assistance, reservations for gym use, fitness classes and personal training can be made by calling your SPORTIME club. However, please note that a health screening form will need to be completed upon arrival at the club each time you visit, which will likely make check-in slower and more challenging.  
  • Those who attempt to check-in at a SPORTIME fitness facility without a reservation may be denied access to the gym, or to a class, or may have to wait until capacity becomes available.

All Staff, Members, Players, Users

  • All players, or parents of players, will receive automatic reminders, by text or by email, the night before a scheduled appointment. Not response will be required, other than in certain limited circumstances related to group fitness associated with junior programming, and private athletic training packages.  Please consult your club's site-specific guidelines for details. 
  • Anyone exhibiting COVID-19 symptoms at a SPORTIME club, either upon arrival, or at any point during a workday/program/play, will be sent home, and will need to be symptom free and test negative for the virus before returning.
  • If someone at SPORTIME exhibits COVID-19 Symptoms or tests positive for COVID-19, SPORTIME will follow all State and County Department of Health guidelines to ensure the safety of all members, players, employees and family members. These protocols may include quarantine for the symptomatic or sick player or staff member, contact tracing through the County where the club is located, additional facility cleaning and disinfection, the testing of those who may have made contact with the infected player or staff member, further quarantines or stay at home requests, as may be recommended by health officials, and any other sensible actions designed to keep the larger community safe as any impacted persons recover.  

Protective Face Coverings

  • Everyone is required to wear protective face “masks”, covering their mouths and noses, when entering or exiting SPORTIME facilities, and within our clubs at all times, except while participating in activities on tennis and sports courts, rinks and turf fields, when physical distancing can be maintained. When participating in such activities, players must keep face coverings in their pockets or around their necks, so they can be deployed when needed. During tennis porgramming, face coverings should be deployed during ball pick-up.  Pursuant to NYS mandatory guidelines, gym/fitness facility users must wear face coverings at all times, and may not wear gaiters, Buffs or bandanas.
  • Gaiters, Buffs, bandanas and N-95 masks with exhalation valves (these valves protect wearers but do not block the release of particles that could impact those around the wearer) are not acceptable face coverings for use in SPORTIME facilities.
  • THERE ARE NO EXCEPTIONS TO THIS REQUIREMENT AND ANY PLAYER, GUEST, OR STAFF MEMBER WHO DOES NOT WEAR A FACE COVERING AS DIRECTED, WILL BE ASKED TO LEAVE SPORTIME PREMISES.  SPORTIME reserves the right to bar from our clubs anyone who does not wear a protective face covering as required.
  • SPORTIME understands that guidance around face coverings and the use of gaiter style face coverings has changed, and may change again, as NYS guidance and available and clear scientific information changes, and we will continue to follow NYS guidance, and to err on the side of caution with respect to the types of face coverings that we require.

Indoor Air Quality and Safety

Many businesses, including some of our competitors, are making false or exaggerated claims about their air-quality.  However, the truth is that what matters most in the prevention of COVID-19 spread is that fewer people share larger, and more open spaces, so that the airborne virus, if present, is quickly diluted, both by the sheer volume of air and through abundant air circulation. That is why tennis and sports courts and fields are such good places to exercise safely at this time, as detailed below. 

  • Each of SPORTIME’s indoor tennis courts, sport courts, or turf mini-fields, whether in a building, or in an air-structure, is about 150,000 cubic feet (6,000 to 7,000 square feet). These are massive spaces (e.g. 750,000 cubic feet in a five court building) in which a very substantial volume of air is constantly diluted and replaced with fresh air.  
  • SPORTIME is running our air circulation systems, including our HVAC systems, or our high capacity exhaust fans, 24/7, regardless of temperature demand, to maximize air-circulation and replacement. 
  • In our air-structures (“bubbles”), the air completely changes roughly every one to two hours, depending on weather conditions and air-structure pressure.  Perhaps more important, at the 7 ft. level in our air-structures, where players are breathing, air is replaced roughly every 9-36 minutes. 
  • In our steel buildings, the air is completely circulated roughly every 37 minutes, with 20%-30% of that air being fresh at all times.   
  • We have reduced the number of people occupying all indoor spaces to increase the effective dilution per person.
  • In our clubhouse and office spaces, we have upgraded our HVAC systems to include the highest MERV rated filters available for our systems, most of which are now MERV 13 filters. 
  • We have installed portable room air cleaners with HEPA filters in smaller spaces and offices. 
  • We continue to sanitize surfaces routinely, both overnight and during club hours.

Although we believe that our modern, well-ventilated, court, rink and field enclosures are very safe playing environments, in which the spread of COVID-19 is highly unlikely, we also take the following precautions.

  • We screen all of our staff, players and guests, and take their temperatures, before allowing them in our buildings, as the first line of defense is to avoid having any infected person in our buildings or using our facilities.
  • We require our staff, players and guests to wear face coverings and to observe distancing when in our indoor, off-court spaces, and to reduce their time in such spaces (the 6 foot, 15-minute rule).

Hand Sanitizer and Supplies

SPORTIME staff/coaches and members/players/students/campers have easy access to ample supplies of hand sanitizer and sanitizing supplies (spray bottles and paper towels, or wipes if available), which are available on all tennis courts, volleyball courts and in or near other playing areas, gym/fitness areas and facility lobbies, locker rooms, offices and common areas.  Coaches and maintenance and housekeeping staff will use these products to sanitize their hands and to sanitize equipment, such as ball carts, ball hoppers, fitness equipment, rackets and benches, to ensure their safety and that of all players and guests.

 

Staff Training

All SPORTIME staff members, including all full-time and part-time employees, and all tennis, fitness and sports coaches and camp counselors, undergo a rigorous training on all Covid-19 related protocols and standard operating procedures, and receive additional training when they are updated. 

Government Mandates

All local, state, federal and other governmental mandates, protocols and directives will be followed to ensure the safety of all SPORTIME staff members and customers.

PROGRAMS / CAMPS / ACTIVITIES

Pick-Up and Drop-Off Procedures

  • Parents are encouraged to drop-off students no more than 5-10 minutes in advance of the start of a scheduled lesson or program, court-time, personal/athletic training session or other service, and to pick them up immediately at the conclusion of the same, to avoid players congregating/waiting in lobbies and other areas. Parents and students who arrive for a program or service more than 10 minutes in advance, should remain in their cars until 5 minutes prior.
  • Parents should avoid entering SPORTIME indoor spaces/buildings whenever feasible to avoid crowding and contact. Business transactions should be handled via email and phone whenever possible
  • Players in tennis or sports programs that, in the past, have featured full-group warm-ups on a single court/field/rink, and/or congregation on a single court/field/rink prior to court assignments, will now be informed of court/field/rink assignments prior to or immediately upon arrival at SPORTIME, and must proceed to their assigned courts/field/rink, for warm-up, immediately upon arrival.  

Spectating

  • On-site spectating is strongly discouraged at this time.  Parents who choose to enter SPORTIME clubs to spectate, subject to SPORTIME approval and a temperature check, must complete a SPORTIME guest waiver if they are not SPORTIME members, wear protective face coverings and observe physical distancing guidelines at all times.
  • SPORTIME has installed geographically limited and password protected  (for the safety and privacy of our players and staff) live-streaming capability on most of our tennis and sports courts, turf fields and rinks.  We are making this substantial investment so that parents, family members and friends can easily spectate remotely, either from their cars in our parking lots, or from other areas immediately adjacent to our clubs. This will help us to avoid any crowding or lack of social distancing within our clubs, and will allow those who use the system to enjoy viewing that should be as good as in-person in most cases, but in a completely distanced format.  Log on to your club's home page for access and click here for more information.

Tennis and Sports Curricula Safety Updates

  • We have developed detailed, on-court protocols and safety guidelines, and have updated our curricula, for all group tennis and sports programming, including for our youngest participants.  Drills, games and other activities include necessary physical distancing, as do related activities like water breaks, placement of personal equipment, and more. Coaches may utilize brightly colored, circular markers, cones, drop-down lines, and other tools to define areas and movement patterns.  Markers are often placed at designated locations on each court/field/rink, prior to the start of an activity/class, so that players know where to stand at the start of a session, prior to additional instructions being shared.

Ball Handling

While the most recent CDC guidance appears to indicate that transmission of the virus from surfaces is unlikely, in an abundance of caution we have created the following ball handling protocols.

  • Tennis - In the event that ball-touching is incorporated into a drill or activity, players are required to sanitize their hands prior to and after such drill or activity, and before their next drill or activity. When teaching balls are used for serving practice and for point play, players are required to sanitize their hands prior to serving and after serving, and before their next activity. Players may bring their own marked balls to use for serving and/or point play during group programming or private lessons if they prefer. For the time being, players only use ball hoppers/baskets to pick up tennis balls during lesson programs, and should avoid touching teaching balls with their hands during ball pick-up. All hoppers/baskets are sanitized by coaches prior to each session, and hopper handles are sanitized after each ball pick-up. After using the basket/hopper, players must sanitize their hands, using sanitizing stations on the court, prior to returning to tennis activities.  
  • Sports - Volleyballs, basketballs and similar equipment may be shared by players during training activities and modified game play. Players will wear face coverings when picking up balls after training drills, and will sanitize their hands prior to the next drill or other activity. All balls and other sports equipment will be sanitized by SPORTIME staff after each training session.

Equipment Sharing Among Players

  • Tennis - Players will no longer have access to “loaner/communal” tennis rackets. They will be required to bring their own rackets each day, which can be purchased in one of our pro shops, or elsewhere.  In the event a loaner racket is needed, it will be sanitized before and after use. Any other equipment used in the context of tennis programs and activities (cones, jump ropes, etc.) will be handled primarily by coaches, and will be sanitized by coaches after each use by players.  
  • Sports -  Other than balls, pucks and some training aides, players must bring their own equipment, including, but not limited to,volleyball knee pads, hockey pads and sticks, soccer pads, lacrosse pads, sticks and helmets, etc., for leagues and programs. Any individual or group that rents a Multi-Sport court for team sports play must provide their own equipment.

Tennis Play Gen'l Guidelines

  • For court-time, private lessons and programs, players are asked to enter their assigned courts only after they have been vacated by other players.
  • Players are encouraged to change sides on opposite sides of the court, around opposite net posts.
  • Courtesy and common sense must prevail at all times.

Multi-Sport

Our Multi-Sport courts, turf fields and rinks will be available for use by members and guests, but team sports activities must adhere to the following NYS Sports and Recreation Guidelines:

  • Participation in soccer, baseball, field hockey and non-contact lacrosse is allowed under NYS guidelines.
    • In the context of those sports, the following types of activities are permitted:
      • Individual or distanced group training or activities
      • Organized no/low-contact group training (e.g. sport camps and clinics)
      • Competitive team practices
      • Games, meets, matches, scrimmages (e.g. organized leagues, pick-up sports)
    • And, the following types of activities are not permitted:
      • Competitive tournaments with multiple games, meets, matches, or scrimmages.
  • Participation in basketball, volleyball, floor hockey, roller hockey, and flag football is allowed under NYS guidelines.
    • In the context of those sports, the following types of activities are permitted:
      • Individual or distanced group training or activities
      • Organized no/low-contact group training (e.g. sport camps and clinics)
    • And, the following types of activities are not permitted:
      • Competitive team practices
      • Games, meets, matches, scrimmages (e.g. organized leagues, pick-up sports)
      • Competitive tournaments with multiple games, meets, matches, or scrimmages

Social / Physical Distancing in Program Activities

We have developed detailed, on-court protocols, for all group tennis and sports programming, including for our youngest participants.  Drills and activities include necessary physical distancing.  Coaches often utilize brightly colored, circular markers, cones, drop-down lines, and other tools to define areas and movement patterns.  Markers are often placed at designated locations on each court/field/rink, prior to the start of an activity/class, so that players know where to stand at the start of a session, prior to additional instructions being shared.

Gyms / Fitness

 

  • Occupancy: per NYS mandatory guidelines, fitness center occupancies will be limited to 33% of the public occupancy limit.
  • Gym/Fitness Center Access: to ensure that we follow NYS mandatory guidelines, and our own protocols, we must ask our fitness users to make reservations for workout times in our gyms no more than 24 hours in advance.  For more details about making reservations, see MEMBER / CUSTOMER / STAFF SAFETY>Daily Health/Temperature Screenings/Check-In, above.  
  • Group Fitness/Group Exercise Classes: will be by appointment/reservation only, no more than 24 hours in advance; maximum class capacity will be capped at the number of people that can adhere to the 6-foot distancing requirement, but in no case more than 33% of the typical class size; classes will be scheduled to allow additional time for cleaning and disinfection between sessions.   • Physical Distancing: of 6 feet or greater will be required of fitness users at all times, with all equipment/work-out stations/group exercise stations being separated by at least 6 feet.

Modified Schedules

At certain locations, for certain programs or classes, starting and ending times may be adjusted to create a break that can be used to assure safety and distancing when players/students are entering and exiting courts/fields/rinks.  With younger players, coaches will carefully guide players off the court to each club’s designated pick-up/exit areas, and will welcome the next group onto the court, all the while enforcing distancing and face covering use.  Face coverings will be deployed by all at these times.

Club Traffic Patterns

Many clubs have implemented new entrance and exit areas, and other new traffic patterns, designed to alleviate large groups of players/parents forming, congregating or passing each other as classes end and new ones begin, and to assure adequate spacing at customer service areas.

FACILITIES / HOUSEKEEPING

Hand Sanitizer and Supplies

An abundance of hand sanitizer and sanitizing supplies (spray bottles and paper towels, or wipes if available) have been stocked, and are readily available on all tennis courts, volleyball courts and in or near all other playing areas, as well as in gyms/fitness areas, facility lobbies, locker rooms, offices and common areas.

Enhanced Cleaning

Intensified cleaning of SPORTIME facilities is taking place throughout each day, and overnight, with additional, dedicated cleaning during operating hours.  Whenever possible, there is full-time cleaning staff stationed in or near high-traffic club areas, including locker rooms, during peak-use periods, and there will be additional staff stationed in gyms/fitness areas to disinfect such areas, and fitness and other equipment, regularly.

Bathrooms / Locker Rooms

Bathroom and locker room facilities at SPORTIME clubs are available for use by customers and employees. Those who use the facilities must: substantially limit their time spent in them; maintain physical distancing from others of no less than 6 feet at all times; wear face coverings at all times, no exceptions. Single service showers are open at some SPORTIME clubs; please review the guidelines for your SPORTIME club for details. Saunas and steam rooms are closed until further notice. 

 

Water Coolers and Fountains

Water fountains have been taken out of service. Water coolers and/or non-contact bottle fillers are provided, on tennis courts and in and around other sports play areas, and hand sanitizer and disinfection supplies are located adjacent to all such devices.  Players are required to sanitize their hands before touching any water supply device. Cups have been eliminated; players are encouraged to utilize personal water bottles or cups, or to bring bottled water. Social distancing must be maintained at all water supply areas.

Protective Barriers

All SPORTIME facilities have protective Plexiglass barriers installed at reception desks and other customer-service counters, as well as in offices, to create safer communication between members and staff, and between staff members, and to allow for transactions with reduced potential for airborne transmission.

Towel Service

Towels are available at some SPORTIME locations, but are not self-service, and are kept behind reception desks, having been laundered and folded following all sanitary protocols.

Demo Rackets

Members in need of demo tennis rackets may borrow them from and return them to either their site’s pro shop or reception desk (as applicable); no self-service.  All demo rackets are sanitized before and after each use.

Tennis Balls

While the most recent CDC guidance appears to indicate that transmission of the virus from surfaces is unlikely, we recommend that players who are playing on open court-time, seasonal court time, walk-on time or any other court-time, league, tournament or play situation, either provide their own can(s) of tennis balls or purchase new balls at the pro shop or reception desk.  Some players may choose to mark and utilize their own can(s) of balls, to avoid ball sharing among partners, in singles or doubles play.  There may be no sharing or borrowing of teaching balls for recreational play, and teaching carts will be locked when not in use by coaches.  When coaches finish using courts for private lessons or programs, they will ensure that no balls remain, including behind curtains, or are otherwise available to be touched by on-coming players.
