Summer 2025 Game Arranging Guidelines - Summer 2025
(A Friendly Guide to Getting Great Games)
At SPORTIME Quogue, we take pride in creating an atmosphere where tennis is not only competitive and challenging, but also fun, social, and community-driven. Our #1 goal is to deliver a consistent, high-quality tennis experience for all members.
GAME ARRANGING - HOW IT WORKS
To facilitate well-balanced and enjoyable matches, our staff coordinates game arranging sessions each day at 8:30 AM and 10:00 AM. Please review the following procedures and expectations:
- Players are asked to bring a new can of balls to each scheduled match, whether singles or doubles. Balls can be purchased at the front desk.
- The Director of Tennis, Game Arranger, and/or General Manager (our Game Arranging Team) will be available during morning sessions to oversee player groupings and make adjustments as necessary.
- Feedback is welcomed and encouraged. If you would like to share thoughts about your match, please speak with a member of the Game Arranging Team following your session and we will consider your input for future arrangements.
REGISTERING TO PARTICIPATE
Game arranging sessions at SPORTIME Quogue are delineated as follows:
- Game Arranging Prime Time: Fridays through Mondays
- Game Arranging Non-Prime Time: Tuesdays through Thursdays
Members may register through the SPORTIME Member Portal (the app), either on a personal device or at the front desk. Registration windows and applicable fees vary by membership type:
- Sportime Plus Quogue: Register up to 14 days in advance – No fee
- Summer Tennis Members: Register up to 7 days in advance – No fee
Tennis & Sport / Bronze / Silver / Platinum Members: Register up to 4 days in advance
- $35 per session (Non-Prime)
- $40 per session (Prime)
Associate Members: Register up to 2 days in advance
- $40 per session (Non-Prime)
- $45 per session (Prime)
Guests: Members may reserve spots for guests, subject to availability
- Guest fees: $35 (Non-Prime), $40 (Prime)
If you miss the registration window, you may join the waitlist or arrive as a standby. While placement is not guaranteed, our team will make every effort to accommodate you.
PLAYER LEVELING
- To ensure competitive and enjoyable play, our staff maintains a confidential rating system for all players. Ratings are updated throughout the season based on match results and the Game Arranging Team’s direct observations. Player ratings and pairing notes are never shared with members. Please do not ask.
- New players or members may schedule a complimentary 15-minute evaluation with the Director of Tennis or Game Arranger.
- Our team reviews daily registrations with care and does their absolute best to create great, well-balanced matches—whether men’s, women’s, or mixed doubles. If a balanced pairing cannot be achieved, a staff member may be added to maintain an appropriate level of play.
REQUESTS & SPECIAL CONSIDERATIONS
- We welcome requests to play with specific partners or in certain games. While final decisions are at the discretion of the Game Arranging Team, we always do our best to accommodate member preferences.
- If you believe that you are ready to advance to higher-level games, let us know. We’ll observe your play and offer feedback as appropriate.
- Members are also welcome to arrange matches outside of the game arranging sessions. For matches prior to 8:30 AM or after 11:30 AM, courts must be reserved in advance via the app or by contacting the front desk.
COURT ETIQUETTE & CANCELLATION POLICY
- Please check in before proceeding to your court—either with the Game Arranging Team during morning sessions or with the front desk at all other times.
- If you feel a match is not at your level or are dissatisfied with a pairing, we ask that you graciously participate and then share feedback privately afterward—via email or directly with a member of the Game Arranging Team. Player feedback is always appreciated, and we do our best to adjust future pairings when possible.
- Leaving the court mid-session or refusing to play due to dissatisfaction with a match is not acceptable and will result in a $50 penalty. A second violation (not due to injury) will lead to a suspension of membership privileges.
- Late cancellations (after 5:00 PM the day before a session) will incur a $35 fee.
- No-shows will be charged $50, unless due to an emergency.
- Players arriving more than 10 minutes late may forfeit their spot. Once a replacement is provided, the late player may not join the session.
- Cell phones must be turned off or set to silent/vibrate while on court.
ELEVATE YOUR GAME & SOCIAL EVENTS
- Adult clinics take place at 10:00 AM on weekdays, and at both 8:30 AM and 10:00 AM on weekends.
- Private and semi-private lessons with our world-class coaching team are available year-round.
- Clinics and private lessons are open to both members and guests.
